Books that keep themselves, mostly

Most small business bookkeeping is retrospective data entry: taking bank lines and sales records that already exist and typing them into a second system, weeks later, from memory.

When payments, banking and payroll already run in one place, most of that entry is unnecessary. The transaction is already there, with the counterparty, the amount, the date and the channel.

What is automatic

Categorisation. Settlements, refunds, payroll runs and fees post to the right account as they happen, using rules that learn from corrections.

Matching. An invoice marked as paid is matched to the settlement that paid it, rather than sitting as two unconnected records.

Fees. Processing fees are recorded against the transactions they relate to, so margin is visible without a reconciliation exercise.

Invoicing

Invoices are raised from the same system that will eventually receive the payment. They carry a payment link, so the customer can settle by card or transfer without leaving the invoice, and the payment reconciles itself.

Recurring invoices repeat on a schedule. Overdue invoices are visible as a list rather than as something to remember.

Reporting

Profit and loss, balance sheet, and cash flow, on a period the business chooses. The same statements a lender asks for and an accountant expects, produced from records that were never re-typed.

Working with an accountant

An accountant can be given access directly, at a permission level that suits the engagement. Exports are available in the formats the common packages import, for firms that prefer to work in their own tools.

What it does not do

This is bookkeeping and reporting, not tax filing. Statutory returns are still prepared and filed by the business or its accountant, from these records.
